Project Coordinator (Ottawa Office)

Position: Project Coordinator

Project Coordinator (Ottawa Office)

The Project Coordinator is a member of the Transcription team and is responsible to lend project coordination expertise and communication skills to help deliver impactful customer solutions. Working in a challenging multi-discipline environment, you will source and schedule transcription resources and will coordinate new customer implementations. As Project Coordinator, you will be the principal employee responsible for managing and ensuring the high performance of our transcriber network.

The successful candidate will be a highly motivated, results-oriented professional who can manage a high volume of varying and competing priorities.

Duties and Responsibilities:

Reporting to the Manager of Guided Transcription, the Project Coordinator will:

  1. Source and schedule external transcription resources in response to customer requirements presented by T-Base account managers for braille, large print, e-text, and other accessibility projects.
  2. Assign work orders, send project details, and monitor contractor performance to assure successful completion and proper billing.
  3. Maintain good communication with contractors to assure timely and efficient completion of jobs and proper communication of issues.
  4. Use T-Base project management software (JIRA) to review quotes, upload files, monitor QA, and track Production through to shipping and invoicing.
  5. Review delivered transcriptions to assure quality standards have been maintained and customer specifications have been followed.
  6. Liaise with the T-Base transcription/QA teams and account managers to ensure on-time, successful deliverables.
  7. Maintain document control, database management (JIRA), track project activities and team communication.
  8. Coordinate meetings and circulate minutes as required.
  9. Expand the T-Base pool of certified and qualified external transcription resources, keeping information on each to ease the selection process.
  10. Improve the current process, using existing tools but improving upon them to make it easier to track outsourced work.
  11. Work with T-Base Finance Department to ensure accurate and timely processing of customer invoices, vendor payments and monthly revenue accruals.
  12. Participate in generating Accruals report for Finance.
  13. Provide weekly status update of ongoing work and identify risks and remediation required.

Qualifications:

Education & Requirements:

  • A diploma/certificate in project management or equivalent experience
  • A minimum of 5 years’ experience in a project management or coordination role managing multiple initiatives simultaneously
  • Experience managing both vendors and customers
  • Good working knowledge of project management principles and tools, specifically JIRA
  • Knowledge of development life cycle, system testing techniques and quality assurance techniques
  • Knowledge of scanning and printing devices and software
  • Strong knowledge of office automation software specifically MS Office
  • Completion of braille certification is an asset. (For internal employees: the successful candidate will be required to successfully complete the braille certification requirements as part of the learning plan.)
  • Must pass screening results for general and criminal background checks and credit history on an ongoing basis

Vice President, Finance (Ottawa Office)

Vice President, Finance (Ottawa Office)

Reporting to the Co-CEO’s, and as member of the Executive Management Team, the Vice President of Finance plays a strategic role in the overall management and leadership of the financial operations for the Company. This includes overseeing: accounting practices and procedures, accounts, and reporting systems, as well as establishing and implementing the company’s key performance metrics, production of periodic financial reports and a comprehensive set of controls designed to mitigate risk and enhance the accuracy of the company’s reported financial results in compliance with Generally Accepted Accounting Principles (GAAP) and Accounting Standards for Private Enterprises (ASPE) and other regulatory requirements. The VP of Finance will act as a true business partner and advisor to the Co-CEOs and as a financial liaison between the company, the Private Equity Sponsor and Stakeholders.

Duties and Responsibilities:

The specific duties and responsibilities of the Vice President, Finance are as follows (such duties and responsibilities being subject to amendment or other changes as determined by T-Base Management on an ongoing basis):

  1. Closing the books (monthly); providing the Income Statement, Balance Sheet and Cash Flow information to the internal management team, Board of Directors, auditors, and banks/third party lenders; and reporting financial status and trends of the business.
  2. Providing analysis of historical, current, and projected financial and operating results to develop recommendations for strategy and tactical improvements.
  3. Managing processes for financial forecasting, budgets, and consolidation of financial reporting.
  4. Identifying and implementing the use of key performance indicators to enhance business operations.
  5. Ensuring effective internal controls are in place and compliance with GAAP and ASPE.
  6. Ensuring compliance with applicable federal, state, and local regulatory laws in both Canada and United States.
  7. Complying with rules for financial and tax reporting, including initiatives for determining sales and use tax liability.
  8. Leading, along with the IT Department, the selection and implementation of ERP systems upgrade to Intacct.
  9. Leading/coordinating the annual budget planning process for all aspects of the Company.
  10. Coordination, communication, and overall responsibility for the annual Audit process.
  11. Handling communications with Shareholders, third party lenders, auditors, external tax authorities, and others as appropriate.
  12. Coordinating due diligence for acquisitions and integration of financial and administrative functions for acquired companies.
  13. Working with senior executives and Shareholders to identify and execute on strategic initiatives.
  14. Guides and directs Finance & Accounting Department team and provides coaching and development to team members.
  15. Preparing and presenting reports to the Board of Directors on areas that fall within the scope or mandate of the role.
  16. Other duties as assigned.

Qualifications:

Education, Experience & Security:

  • Minimum of a university degree in Accounting, Finance or Financial Management;
  • CPA designation (active or inactive);
  • A minimum 10+ years of progressive experience finance and accounting including a least 3+ years’ experience in a financial leadership role;
  • A strong data driven decision maker;
  • Strong background and knowledge of financial reporting, accounting and cost control principles including ASPE and GAAP;
  • Familiarity with US Tax laws;
  • Understanding of software and percentage of completion revenue recognition; and

Print Production Specialist (Ottawa Office)

Print Production Specialist (Ottawa Office)

The Print Production Specialist is a member of the Production Department and is responsible for the daily print production, document reproduction, packaging and shipment of alternate format documents and statements for the blind and partially sighted community.

Duties and Responsibilities:

The specific duties and responsibilities of the Print Production Specialist are as follows (such duties and responsibilities being subject to amendment or other changes as determined by T-Base Management on an ongoing basis):

  1. Understanding Service Level Agreements (SLA) requirements for all customers, including required turnaround times and applicable document production standards.
  2. Ensuring that documents and statements sent to Production are reproduced in the appropriate format, reviewed for compliance with applicable Quality Standards, packaged and shipped in a timely manner, within customer SLA requirements.
  3. Operating binding and printing equipment.
  4. Operating manual and automated embossing equipment.
  5. Stuffing and packaging parcels.
  6. Receiving and shipping parcels.
  7. Reporting quality problems to the appropriate personnel for timely correction.
  8. Tracking time spent on specific transcription tasks in support of invoicing and human resources processes and through appropriate T-Base utilities, such as JIRA.
  9. Communicating on a regular basis with members of other departments on the progress and status of specific jobs and assignments.
  10. Keeping current, with, and, diligently applying, applicable best practices for the production of documents and statements in alternative formats.
  11. As time permits, completing the Braille Certification Training and any other training as deemed appropriate to the effective performance of the job.
  12. Maintaining work area in a safe and clean fashion and following all health and safety policies and standards.

Marketing Coordinator (Ottawa Office)

Marketing Coordinator

Reporting to the Marketing Manager, the Marketing Coordinator is responsible for developing and executing marketing programs that support sales initiatives, drive brand awareness and gain customers for the organization. Key contributions include coordinating attendance at tradeshows, responding to Requests for Proposal (RFPs) and creating informative and engaging marketing materials (e.g. one pagers, presentations, graphics and videos).

Duties and Responsibilities:

  1. Coordinates tradeshow attendance (booking booths, submitting proposals for presentations, registering speakers, etc.)
  2. Coordinates responses to Requests for Proposals (RFPs) on behalf of the company, which involves communicating RFP requirements, coordinating input across departments and meeting key dates and deadlines
  3. Manages the company’s social media and online presence (website, blog, Twitter, Facebook and LinkedIn)
  4. Plans, executes, measures and reports on the success of social media and email initiatives
  5. Researches to find new prospects to add to the sales pipeline and tracks all sales leads relating to marketing initiatives
  6. Organizes and utilizes database lists for outbound marketing initiatives
  7. Prepares marketing materials and PowerPoint presentations to support the Sales department
  8. Creates artwork using Adobe Illustrator (banners, advertisements and other pieces of literature) for tradeshows, Sales’ networking events, internal use, etc.

Assists Marketing Manager with the following:

  1. Crafting RFP responses that meet requirements and puts the organization in the best position to be awarded
  2. Supervising the organization’s database of contacts and leads (includes list management, data quality control and list utilization as it relates to outbound marketing initiatives)
  3. Designing comprehensive strategic marketing plans for the organization, its products and services
  4. Conducting research to further the organization’s understanding of customers, prospects and market drivers (i.e. customer satisfaction surveys, market analysis, etc.) and reporting on said research
  5. Other duties as assigned

Qualifications:

Education & Requirements:

  • Degree or diploma in Marketing, Business, Communications or Journalism
  • Experience writing SEO-optimized web content (preferably for B2B)
  • At least two years’ experience in marketing, marketing research or communications preferred
  • Experience developing and executing marketing campaigns

Knowledge:

Guided Transcription Operator (Ottawa Office)

Position: Guided Transcription Operator

Guided Transcription Operator

Reporting to the Manager of Guided Transcription and working closely with a team of Transcription Specialists and the Quality Assurance team, this position is responsible for using and testing proprietary software to create documents that are usable by the blind and low vision consumer in the production of educational materials such as text books and testing materials with a large emphasis on Science Technology Engineering Math (STEM) subject matter.

Duties and Responsibilities:

  1. Learning a T-Base custom-built software which is used to create accessible documents for the blind and low vision consumer in the educational marketplace.
  2. Working within MS Word to format and proofread documents that have been initially processed and transcribed using the custom built software. This includes: receiving documents in a PDF format, running documents through the proprietary software, following the rules, guidelines and prompts to make decisions regarding the formatting of the documents.
  3. Providing feedback, both verbal and written to the software development team and subject matter experts on the effectiveness of the platform.
  4. Producing tactile graphics using graphic software to transform print illustrations, maps, images, diagrams, etc. into readable tactual format for the blind.
  5. Initially, working with the team to test the software and provide feedback on its accuracy and ease of use. Ultimately will move to become the first generation of user to apply and transcribe documents using the software application.

Qualifications:

Education & Requirements:

  • A minimum of a 2 year college diploma, or equivalent, is required
  • This is an entry level role; some previous experience working in an office or production setting would be an asset
  • Must successfully pass criminal background check, credit check
  • Experience in writing reports and document structuring is an asset
  • Ability to travel across North America is an asset

Knowledge:

  • Proficient in using Microsoft office tools (Microsoft Word, Excel) and Adobe Acrobat, PDF
  • Experience working with graphic software, such as InDesign or Corel Draw
  • Knowledge of braille and/or accessible formats would be considered an asset

Processing Specialist (Ogdensburg Office)

T-Base Communications is the North American leader in design, production and delivery of accessible statements, documents and online services for our customers in the financial, telecom, healthcare government and education markets. T-Base transforms customer communication materials into braille, large print, e-text, audio as well as formats for online delivery such as accessible PDF for web accessibility.  Join our team in our office in Ogdensburg, New York.

Processing Specialist (Ogdensburg Office)

Reporting to the Processing Manager, and working closely with a team of Processing Specialists this position is responsible for the daily processing and production of alternate format documents and statements for the blind and partially sighted community – primarily through the use of proprietary software for automated processing of statements in alternate formats.  The position is also responsible for the daily coding of documents using T-Base proprietary software and for supporting the work of other T-Base departments on an as needed basis.

Duties and Responsibilities:

  1. Processing customer documents and statements using T-Base proprietary software for the automatic conversion of documents and statements into alternative formats in accordance with customer Service Level Agreements (S.L.A), Quality Standards and Work Instructions.
  2. Completing the processing of documents and statements in accordance with customer specific Work Instructions.
  3. Ensuring the efficient and accurate coding, proofing and production of alternate format documents.
  4. Completing and distributing reconciliation and other reports to customers as required.
  5. Understanding SLA requirements for all customers, including required turnaround times and download schedules.
  6. Identifying processing deficiencies and bugs through diligent application of Quality Assurance processes and standards. Reporting all such deficiencies to T-Base Development staff in a timely manner with accurate and complete descriptions in JIRA or such other ticket-tracking utility implemented by T-Base. Coordinating deployment of bug fixes and similar functionality with T-Base Development staff.
  7. Ensuring that processed documents and statements are sent to Production for timely printing and delivery and supporting the Production Department as needed.
  8. Summarizing processing volumes and tracking time spent on specific customer tasks in support of invoicing and human resources processes and through appropriate T-Base utilities, such as JIRA.
  9. Communicating on a regular basis with members of other departments, including the Development Department, on the progress and status of any maintenance associated with customer tools.
  10. Assisting in other areas of the US Operations to ensure the timely completion and distribution of customer statements, as directed by the Manager or other senior staff in the office.
  11. As time permits, completing the Braille Certification Training and any other training as deemed appropriate to the effective performance of the job.
  12. Maintaining work area in a safe and clean fashion and following all health and safety policies and standards.

Qualifications:

Education & Security:

  • A minimum completion of high school diploma or equivalent
  • A minimum of 3 years’ experience working in an office or production setting
  • Must pass screening results for general and criminal background checks, drug testing and credit history
  • Knowledge of Braille would be an asset

Skills and Abilities:

  • Comfortable with the use of computers and office automation products such as Microsoft Word, Excel, Notepad, WordPad, Editpad Pro and Adobe Acrobat.
  • Strong ability to prioritize tasks of self and others and troubleshoot problems and issues  Excellent organizing skills.
  • Strong relationship and team building skills

  • Ability to type 60 wpm
