Communications Coordinator (Ottawa Office)

Position: Communications Coordinator
Status: Full Time

Communications Coordinator

Reporting to the Marketing Manager, the Communications Coordinator is responsible for developing communications that support sales initiatives, drive brand awareness and gain customers for the organization. Key contributions include coordinating attendance at tradeshows, responding to Requests for Proposal (RFPs) and creating informative and engaging marketing materials (e.g. one pagers, presentations, graphics and videos).

Duties and Responsibilities:

  1. Coordinates tradeshow attendance (booking booths, submitting proposals for presentations, registering speakers, etc.)
  2. Coordinates responses to Requests for Proposals (RFPs) on behalf of the company, which involves communicating RFP requirements, coordinating input across departments and meeting key dates and deadlines
  3. Manages the company’s social media and online presence (website, blog, Twitter, Facebook and LinkedIn)
  4. Plans, executes, measures and reports on the success of social media and email initiatives
  5. Researches to find new prospects to add to the sales pipeline and tracks all sales leads relating to marketing initiatives
  6. Organizes and utilizes database lists for outbound marketing initiatives
  7. Prepares marketing materials and PowerPoint presentations to support the Sales department
  8. Creates artwork using Adobe Illustrator (banners, advertisements and other pieces of literature) for tradeshows, Sales’ networking events, internal use, etc.

Assists Marketing Manager with the following:

  1. Crafting RFP responses that meet requirements and put the organization in the best position to be awarded
  2. Supervising the organization’s database of contacts and leads (includes list management, data quality control and list utilization as it relates to outbound marketing initiatives)
  3. Designing comprehensive strategic marketing plans for the organization, its products and services
  4. Conducting research to further the organization’s understanding of customers, prospects and market drivers (i.e. customer satisfaction surveys, market analysis, etc.) and reporting on said research
  5. Other duties as assigned

Qualifications:

Education & Requirements:

  • Degree or diploma in Marketing, Business, Communications or Journalism
  • Experience writing SEO-optimized web content (preferably for B2B)
  • At least two years’ experience in marketing, marketing research or communications preferred
  • Experience developing and executing marketing campaigns
  • Must successfully pass criminal background check, credit check on an ongoing basis

Knowledge:

  • Proficient in using WordPress, Microsoft Word, PowerPoint and Excel
  • Familiarity with Salesforce, Adobe Photoshop, Adobe Illustrator and email management websites (e.g. MailChimp) would be considered an asset

Marketing Manager (Ottawa Office)

Position: Marketing Manager (Maternity Leave)

Marketing Manager (Maternity Leave)

We have a great opportunity to join our team for an 18-month maternity leave replacement. You will report to the Co-CEO’s and work closely with staff from all departments to develop and execute channel marketing programs that support sales initiatives, drive brand awareness and new customer acquisitions. You will be the primary point of contact on all marketing-related activities and be able to contribute to the company’s overall strategic goals. Key contributions to lead generation and communications activities for this role include managing the RFP process, event planning, all customer-facing communications, social media and web properties.

Duties and Responsibilities:

1. Responsible for the overall day-to-day management, direction and coordination of the Marketing Department including:

  • Scheduling and assigning incoming work for the Marketing team;
  • Manage the RFP process on behalf of the company, searching for and responding to RFPs, coordinating departmental input, managing the content and reporting process and overseeing work of external resources engaged in support of the process;
  • Manage onsite and offsite events, accountable for event budgets and delivery to include planning and coordination;
  • Track all sales leads relating to marketing initiatives and forward inquiries to the sales department;
  • Manage direction for all outsourced marketing suppliers;
  • Staying abreast of accessibility legislation as it pertains to various customer segments and T-Base products and services;
  • Research to find new prospects to add to the sales pipeline.

2. Responsible for all internal and external communications for the company:

Internal

  • Database development including list management, data quality and list utilization as it relates to outbound marketing initiatives;
  • Leads in the design of strategic marketing plans, products and services.

External

  • Manage creative, content and brand for all outbound communications including email campaigns, customer presentations, video and sales collateral;
  • Manage content and voice on all social media and website properties, ensuring consistent messaging and SEO best practices are maintained.

3. Human resources management:

  • Overseeing the day-to-day work of a Marketing Coordinator;
  • Conducting performance reviews of each team member (to include goal setting, ongoing feedback and identifying areas of development);
  • Ensuring staff operate in accordance with T-Base policies and procedures and addressing any issues that may arise; involving Co-CEO’s and/or Director of Human Resources, where appropriate;
  • Attend quarterly managers’ meetings with other members of the management team within T-Base to discuss corporate wide issues and share best practices.

Qualifications:

Education & Requirements:

  • A minimum of a 2 year college diploma in marketing, journalism, communications or related field or equivalent combination of education and experience
  • Minimum of 3 years’ experience in progressively responsible leadership and coordination positions
  • Previous experience leading a project or team
  • B2B marketing knowledge and experience
  • Ability to travel across North America is an asset

Print Production Specialist (Ottawa Office)

Print Production Specialist (Ottawa Office)

The Print Production Specialist is a member of the Production Department and is responsible for the daily print production, document reproduction, packaging and shipment of alternate format documents and statements for the blind and partially sighted community.

Duties and Responsibilities:

The specific duties and responsibilities of the Print Production Specialist are as follows (such duties and responsibilities being subject to amendment or other changes as determined by T-Base Management on an ongoing basis):

  1. Understanding Service Level Agreements (SLA) requirements for all customers, including required turnaround times and applicable document production standards.
  2. Ensuring that documents and statements sent to Production are reproduced in the appropriate format, reviewed for compliance with applicable Quality Standards, packaged and shipped in a timely manner, within customer SLA requirements.
  3. Operating binding and printing equipment.
  4. Operating manual and automated embossing equipment.
  5. Stuffing and packaging parcels.
  6. Receiving and shipping parcels.
  7. Reporting quality problems to the appropriate personnel for timely correction.
  8. Tracking time spent on specific transcription tasks in support of invoicing and human resources processes and through appropriate T-Base utilities, such as JIRA.
  9. Communicating on a regular basis with members of other departments on the progress and status of specific jobs and assignments.
  10. Keeping current, with, and, diligently applying, applicable best practices for the production of documents and statements in alternative formats.
  11. As time permits, completing the Braille Certification Training and any other training as deemed appropriate to the effective performance of the job.
  12. Maintaining work area in a safe and clean fashion and following all health and safety policies and standards.

Guided Transcription Operator (Ottawa Office)

Position: Guided Transcription Operator
Status: Full Time

Guided Transcription Operator

Reporting to the Manager of Guided Transcription and working closely with a team of Transcription Specialists and the Quality Assurance team, this position is responsible for using and testing proprietary software to create documents that are usable by the blind and low vision consumer in the production of educational materials such as text books and testing materials with a large emphasis on Science Technology Engineering Math (STEM) subject matter.

Duties and Responsibilities:

  1. Learning a T-Base custom-built software which is used to create accessible documents for the blind and low vision consumer in the educational marketplace.
  2. Working within MS Word to format and proofread documents that have been initially processed and transcribed using the custom built software. This includes: receiving documents in a PDF format, running documents through the proprietary software, following the rules, guidelines and prompts to make decisions regarding the formatting of the documents.
  3. Providing feedback, both verbal and written to the software development team and subject matter experts on the effectiveness of the platform.
  4. Producing tactile graphics using graphic software to transform print illustrations, maps, images, diagrams, etc. into readable tactual format for the blind.
  5. Initially, working with the team to test the software and provide feedback on its accuracy and ease of use. Ultimately will move to become the first generation of user to apply and transcribe documents using the software application.

Qualifications:

Education & Requirements:

  • A minimum of a 2 year college diploma, or equivalent, is required
  • This is an entry level role; some previous experience working in an office or production setting would be an asset
  • Must successfully pass criminal background check, credit check
  • Experience in writing reports and document structuring is an asset
  • Ability to travel across North America is an asset

Knowledge:

  • Proficient in using Microsoft office tools (Microsoft Word, Excel) and Adobe Acrobat, PDF
  • Experience working with graphic software, such as InDesign or Corel Draw
  • Knowledge of braille and/or accessible formats would be considered an asset

Production Specialist (Ogdensburg Office)

Processing Specialist (Ogdensburg Office)

Processing Specialist (Ogdensburg Office)

Reporting to the Processing Manager, and working closely with a team of Processing Specialists this position is responsible for the daily processing and production of alternate format documents and statements for the blind and partially sighted community – primarily through the use of proprietary software for automated processing of statements in alternate formats.  The position is also responsible for the daily coding of documents using T-Base proprietary software and for supporting the work of other T-Base departments on an as needed basis.

Duties and Responsibilities:

  1. Processing customer documents and statements using T-Base proprietary software for the automatic conversion of documents and statements into alternative formats in accordance with customer Service Level Agreements (S.L.A), Quality Standards and Work Instructions.
  2. Completing the processing of documents and statements in accordance with customer specific Work Instructions.
  3. Ensuring the efficient and accurate coding, proofing and production of alternate format documents.
  4. Completing and distributing reconciliation and other reports to customers as required.
  5. Understanding SLA requirements for all customers, including required turnaround times and download schedules.
  6. Identifying processing deficiencies and bugs through diligent application of Quality Assurance processes and standards. Reporting all such deficiencies to T-Base Development staff in a timely manner with accurate and complete descriptions in JIRA or such other ticket-tracking utility implemented by T-Base. Coordinating deployment of bug fixes and similar functionality with T-Base Development staff.
  7. Ensuring that processed documents and statements are sent to Production for timely printing and delivery and supporting the Production Department as needed.
  8. Summarizing processing volumes and tracking time spent on specific customer tasks in support of invoicing and human resources processes and through appropriate T-Base utilities, such as JIRA.
  9. Communicating on a regular basis with members of other departments, including the Development Department, on the progress and status of any maintenance associated with customer tools.
  10. Assisting in other areas of the US Operations to ensure the timely completion and distribution of customer statements, as directed by the Manager or other senior staff in the office.
  11. As time permits, completing the Braille Certification Training and any other training as deemed appropriate to the effective performance of the job.
  12. Maintaining work area in a safe and clean fashion and following all health and safety policies and standards.
