Document Testing & Transcription Operator

Position: Document Testing & Transcription Operator
Status: Full Time
Location: Ottawa, ON.

Document Testing and Transcription Operator

Reporting to the Senior Manager of Transcription & Quality Assurance, and working closely with a team of Transcription Specialists and the Quality Assurance team, this position is responsible for using and testing proprietary software to create documents that are usable by the blind and low vision consumer in the production of educational materials such as text books and testing materials with a large emphasis on Science Technology Engineering Math (STEM) subject matter.

Duties and Responsibilities:

1. Learning a T-Base custom built software which is used to create accessible documents for the blind and low vision consumer in the educational marketplace.

2. Working within MS Word to format and proofread documents that have been initially processed and transcribed using the custom built software. This includes: receiving documents in a PDF format, running documents through the proprietary software, following the rules, guidelines and prompts to make decisions regarding the formatting of the documents.

3. Providing feedback, both verbal and written to the software development team and subject matter experts on the effectiveness of the platform.

4. Producing tactile graphics using graphic software to transform print illustrations, maps, images, diagrams, etc. into readable tactual format for the blind.

5. Initially, working with the team to test the software and provide feedback on its accuracy and ease of use. Ultimately will move to become the first generation of user to apply and transcribe documents using the software application.

Qualifications:

Education & Requirements:

  • A minimum of a 2 year college diploma, or equivalent, is required
  • This is an entry level role; some previous experience working in an office or production setting would be an asset
  • Must successfully pass criminal background check, credit check
  • Experience in writing reports and document structuring is an asset
  • Ability to travel across North America is an asset

Knowledge:

  • Proficient in using Microsoft office tools (Microsoft Word, Excel) and Adobe Acrobat, PDF
  • Experience working with graphic software, such as InDesign or Corel Draw
  • Knowledge of Braille and/or accessible formats would be considered an asset

Production Specialist (Multiple Openings)

Position: Production Specialist (Multiple Openings)

Production Specialist (Multiple Openings)

The Production Specialist is a member of the Production Department and is responsible for the daily print production, document reproduction, packaging and shipment of alternate format documents and statements for the blind and partially sighted community. The Production Specialist reports directly to the U.S. Production Manager.

Duties and Responsibilities:

1. Understanding Service Level Agreements (SLA) requirements for all customers, including required turnaround times and applicable document production standards.

2. Ensuring that documents and statements sent to Production are reproduced in the appropriate format, reviewed for compliance with applicable Quality Standards, packaged and shipped in a timely manner, within customer SLA requirements.

3. Operating binding and printing equipment.

4. Operating manual and automated embossing equipment.

5. Stuffing and packaging parcels.

6. Receiving and shipping parcels.

7. Reporting quality problems to the appropriate personnel for timely correction.

8. Tracking time spent on specific transcription tasks in support of invoicing and human resources processes and through appropriate T-Base utilities, such as Big Time and JIRA.

9. Communicating on a regular basis with members of other departments on the progress and status of specific jobs and assignments.

10. Assisting in other areas of the U.S. Operations to ensure the timely completion and distribution of customer statements, as directed by the US Production Manager, Senior U.S. Operations Manager, or Senior Employees under the direction of the U.S. Senior Operations Manager.

11. Keeping current, with, and, diligently applying, applicable best practices for the production of documents and statements in alternative formats.

12. As time permits, completing the Braille Certification Training and any other training as deemed appropriate to the effective performance of the job.

13. Maintaining work area in a safe and clean fashion and following all health and safety policies and standards.

Processing Specialist

Position: Processing Specialist
Status: Full Time

Processing Specialist

Reporting to the Processing Manager, and working closely with a team of Processing Specialists this position is responsible for the daily processing and production of alternate format documents and statements for the blind and partially sighted community – primarily through the use of proprietary software for automated processing of statements in alternate formats.  The position is also responsible for the daily coding of documents using T-Base proprietary software and for supporting the work of other T-Base departments on an as-needed basis.

Duties and Responsibilities:

  1. Processing customer documents and statements using T-Base proprietary software for the automatic conversion of documents and statements into alternative formats in accordance with customer Service Level Agreements (S.L.A), Quality Standards and Work Instructions.
  2. Completing the processing of documents and statements in accordance with customer specific Work Instructions.
  3. Ensuring the efficient and accurate coding, proofing and production of alternate format documents.
  4. Completing and distributing reconciliation and other reports to customers as required.
  5. Understanding SLA requirements for all customers, including required turnaround times and download schedules.
  6. Identifying processing deficiencies and bugs through diligent application of Quality Assurance processes and standards. Reporting all such deficiencies to T-Base Development staff in a timely manner with accurate and complete descriptions in JIRA or such other ticket-tracking utility implemented by T-Base. Coordinating deployment of bug fixes and similar functionality with T-Base Development staff.
  7. Ensuring that processed documents and statements are sent to Production for timely printing and delivery and supporting the Production Department as needed.
  8. Summarizing processing volumes and tracking time spent on specific customer tasks in support of invoicing and human resources processes and through appropriate T-Base utilities, such as Big Time and JIRA.
  9. Communicating on a regular basis with members of other departments, including the Development Department, on the progress and status of any maintenance associated with customer tools.
  10. Assisting in other areas of the US Operations to ensure the timely completion and distribution of customer statements, as directed by the Manager or other senior staff in the office.

Transcription Specialist

Position: Transcription Specialist
Status: Full Time

Transcription Specialist

Work Location: Preferably working in-house at our office located in Ottawa, Ontario or Ogdensburg, New York.  However, we will consider accommodating candidates who wish to work remotely in Canada or the United States.

Reporting to the Manager of Transcription and working closely with a team of Transcription Specialists and the Quality Assurance team, this position is responsible for converting source documents into various alternate formats to create accessible documents that are usable by the blind and low vision consumer in the production of educational materials, forms, and instruction documents.

Duties and Responsibilities:

  1. Transcription of source material into braille and tactile, including any scanning, OCR, formatting and proofreading required to complete such transcription. The formats required are UEB Literary, UEB Technical and UEB Nemeth.  There are some transcriptions that may be required in Nemeth or EBAE Literary as well.
  2. Quality Assurance work for projects transcribed by our internal team using a semi-automated process. These are done by a team that do not have a solid understanding of braille.  Some careful attention to the output in braille especially items such as extra lines, orphaned headings or directions, table formatting, placement of tactile, etc. will be required including providing feedback to the transcriber to augment their knowledge of braille rules to apply to future projects.
  3. Quality Assurance/Proofreading and correction of braille received from other transcribers and providing proofer’s notes of same. These are to be corrected in the same software (Braille 2000 or Duxbury) that the original work was received in. A checklist will be filled-out for each project that has gone through Quality Assurance.
  4. Adapt and or review tactile graphics created within transcriptions to ensure correct placement and page numbering, using Corel Draw.
  5. Participate in company-sponsored meetings and tutorials with regard to standards enhancement.
  6. Compliance with Corporate Policies and Procedures
  7. Ensure production material is readily available and timelines are met

Qualifications:

Education & Requirements:

  • BANA certification in braille UEB and Nemeth is required to ensure that standards are followed.
  • A diploma/certificate in graphic design or a combination of education and experience is an asset.
  • Previous experience working in an office environment.
  • Must be able to travel across North America.

Knowledge:

  • Knowledge of braille is required.
  • Knowledge of scanning and Optical Character Recognition (OCR) software is an asset.
  • Strong knowledge MS Office suite, particularly MS Word.

Software Tester I

Software Tester I

The Software Tester position is responsible for working on our proprietary applications developed in PERL and C#. The successful candidate should have completed some programming courses and have a good understanding of programming logic. The Software Tester reports directly to the Development Manager.

Duties and Responsibilities:

The individual will work as a Software Tester and interact closely with all members of the Development team to understand the applications and develop appropriate testing methods.

  1. Build test cases based on requirements;
  2. Execute quality assurance test cases or baseline/integration test cases and ensure that results are recorded;
  3. Identify and document defects consistently and clearly using JIRA such that defects can be reproduced by the development team;
  4. Work with team to help reproduce issues and to ensure defects are understood and valid;
  5. During QA cycles, performs sanity tests of development builds to minimize risk of unexpected quality drop;
  6. Provide documentation as appropriate including inputs for end-user documentation;
  7. Independently manage time and prioritize tasks to achieve results within cost and schedule constraints;
  8. Liaise between Development Team and Quality Assurance Departments and Management stakeholders, providing QA status reports as appropriate; and
  9. Special projects and duties as assigned.

Qualifications:

Education & Experience Requirements:

  • Degree from a university or college (or equivalent) in any of the following areas of study: Math, Computer Science, Programming or Computer Engineering;
  • Minimum 1-3 years of testing or related experience;
  • Must successfully pass criminal background check.

Skills and Knowledge:

  • Knowledge of test methodology including statistical coverage methodologies;
  • Strong knowledge of Software Testing methodologies, tools and processes.
  • Knowledge of document formatting/structuring;
  • Working knowledge of Windows OS is required.
  • Knowledge or experience in C# or any other object oriented programming languages is required.
  • Experience in automation testing would be an asset.
  • Experience working in Agile/Scrum environment.
  • Experience working in JIRA, SVN/Git, Visual Studio

Manager, US Secure Transcription

To plan and direct the daily operations of the US Secure Transcription Department so as to achieve T-Base productivity and quality assurance expectations and to further the strategic objectives of the Company. To promote and foster a dedication to customer satisfaction within the Secure Transcription Department and amongst your peers company-wide. The Manager, US Secure Transcription, reports directly to the Senior Manager, US Operations.

Duties and Responsibilities:

  1. Understand current and projected volume of incoming work and evaluate the capacity of the Secure Transcription Department to efficiently satisfy this volume in a manner that meets Company SLA requirements and quality assurance standards. Capacity evaluation includes assessing staffing levels, employee skill sets and the availability of resources (such as software and hardware needs) required for the Department to satisfy existing and projected volume.
  2. Determine the duties to be performed by and selecting the best-qualified candidates to perform ongoing work required to meet SLA and quality assurance commitments including appropriate metrics for evaluating successful performance of assigned duties.
  3. Evaluate capacity and volume on an ongoing basis, reporting appropriate metrics to the Senior Manager, US Operations and Director of Operations on an ongoing basis.
  4. Determine appropriate staffing levels required to meet Company SLA and Quality Assurance commitments. Make timely recommendations to the Senior Manager, US Operations and Director of Operations on appropriate staffing levels, including recommendations on new employee recruitment.
  5. Actively participating in the recruitment of employees, including creation of job descriptions, participation in candidate interviews, candidate evaluation, reference checking and hiring recommendations.
  6. Liaise with Managers and Team Leads responsible for other Departments with a view to coordinating efficient work flows throughout the US Facility, corralling resources amongst Departments as required and fostering an overall dedication to team work within the US Facility as whole.
  7. Provide appropriate orientation for new employees, including completion of all tasks listed in the New Employee Onboarding Checklist.
  8. Ensure that all employees within your Department have the resources to excel at their jobs.
  9. Training should be regarded as an ongoing responsibility that is crucial to the success of all employees and the efficient production of high quality work. T-Base provides various training opportunities and incentives to our employees and it is important that all Managers update employees these incentives and opportunities and facilitate employee participation as appropriate.
  10. Ensure that new employees and employees switching to new responsibilities within the Department are provided all guidance and orientation necessary to succeed in their roles; recognize that such coaching is an ongoing requirement requiring considerable commitment and attention from a Manager.
  11. Ensure that all employees within the Department are working under a current job description and in a role appropriate to their skill set and the business objectives of the Company.
  12. Promote a dedication to customer satisfaction on an ongoing basis and to promote a positive understanding of Company objectives in this regard.
  13. Approve time records and requests for time-off for your staff as well as monitor and manage all overtime and vacation leave.
  14. Attends quarterly managers’ meetings with other members of the management team within T-Base to discuss corporate wide issues and share best practices.

Qualifications:

Education & Requirements

  • A minimum of a 2 year college diploma in business or related field or equivalent combination of education and experience
  • Minimum of 3 years’ experience in progressively responsible leadership and coordination roles
  • Previous supervisory experience or experience as a team lead or project lead
  • Ability to travel across North America is required
  • Must pass screening results for general and criminal background checks, drug testing and credit history
  • Knowledge of braille would be an asset

Skills

  • Comfortable with the use of computers and office automation products such as Microsoft Word, Excel, Notepad, WordPad, Editpad Pro and Adobe Acrobat
  • Excellent organizational skills and the ability to multi task
  • Strong relationship, mentoring and team building skills

  • Strong ability to prioritize tasks of self and others and troubleshoot problems and issues
